First off thanks to those of you that attended the meeting and brought fresh ideas to the table on how we can improve our guild. The following is a point roundup of all that was discussed.
To improve the problem with activity in the guild a new rule will be added to ensure that all guild members log in and post on the forums at least once a week.
If members cannot attend or post then a second rule will be added where the members must post in the absences thread to explain why they'll be away. If we feel that members are abusing this system then we shall take action.
Client Reports
The client reports section will be removed & condensed into the Guild Chat forum and each ally will have it's own seperate thread in which the Emissaries of E.P.O.C.H will update once a month.
Guild Leader Q & A
A new Q&A thread will be started in the guild forums where the members can ask the Guild Leaders questions directly about the guild.
In addition to this a new Guild Leader/Officer bio will be posted in the Introduce Yourself section to explain who the Officers are in the guild and what experience we've had in previous games.
Last but certainly not least PrioryJK has been working on a new frontpage. More details on that will be released at his request.
Special Agent Election
A bit more exciting news is that we will be on the search for a new Special Agent (or Officer) to help run the guild with myself, Lunarwolf, and PrioryJK. This will give an Agent more responsibility but of course you'll also be involved with major guild decisions and you'll also gain a higher rank within the guild.
Elections will start very soon indeed, but I shall place a post regarding that shortly.
The actual voting will be the same as before and we shall be holding a demoratic voting system where Agents cannot vote for themselves only other Agents.
The Membership Cap Limit
It has been agreed that we will stay at the 20 maximum limit for the meantine until launch where we will discuss if raising the cap to 30 is necessary or not. Without seeing the game in action we don't really know how important having a smaller or larger membership count will effect us in game. Needless to say this guild will stay small in number.
The Future of Roleplaying
It has been decided that some of the RP must be concluded before close to launch or preferably before.
Lunarwolf has been looking into using a new programme system to run a more fast-paced RP game night. There has been concerns about cost so it will be discussed if this would be practical or not but most the meetings attendees seemed very interested. More about that from Lunarwolf himself.

Yeah we do but due to the inactivity of some members not improving a few of us thought it might be beneficial to add extra rules to increase the activity on the boards. We have some members that haven't been on since May for example which doesn't benefit the guilds progression whatsoever. It is stated before joining that we are looking for highly active members and right now I'd say at best we have about 10 9at a rough guess) that are here and contributing regularly.

My point is more why do we need to add new rules when we already have rules on members activity?
Taken from the guild rules... "We only hire active players within the guild. If you are not active you will be demoted in rank after 30 days and removed from the guild after 60 days without posting, unless you have warned us beforehand and given us a reason for absence."

Are these rules in effect now? I only ask because there's been a few members (not mentioning any names) who's activity has been flagging over the last couple of months without explanation.
